Position Overview

Boston Digital is seeking an Office Coordinator to serve as the main point of contact for many vendors and have the utmost interpersonal and organizational skills.  You must possess zest for providing our guests and employees with a best in class office experience.  


  • Cultivate and maintain positive working relationships with all company vendors and property management company 
  • Prepare for office meetings (in adherence with COVID-19 guidelines) which includes; timely setup, ordering lunches, and cleaning at conclusion
  • Warmly welcome clients, candidates, and guests who visit our office 
  • Politely answer telephone, direct calls, and take messages for incoming calls
  • Primary contact with management company on all office related items 
  • Coordinate the maintenance and repair of facilities, office equipment, and technology for the office
  • Support office moves and build-outs 
  • Liaison for all vendors for the office
  • Responsible for incoming and outgoing deliveries 
  • Order office supplies and ensure that common areas and kitchen are equipped with supplies
  • Organize and maintain the common area of the office and kitchen daily
  • Recommend office improvements to enhance our culture and employee wellness 
  • Ensure filing systems are maintained and current 
  • Promote and inform property management updates and enhancements to Boston Digital team members 
  • Plan and arrange office and employee events (currently remote) 
  • Coordinate Marketing events
  • Support HR with coordination of recruiting, training, and on-boarding processes
  • Support Finance with information processing and reporting
  • Support IT with order requests and inventory
  • Any other duties and responsibilities as requested by team members

Qualifications and Skills


  • A minimum of three years’ experience in vendor management and administrative support
  • Ability to solve problems and improve processes
  • Exhibits friendly demeanor to all Boston Digital clients, employees, and guests
  • Strong written and communication skills
  • Extremely organized and detail oriented
  • Ability to effectively prioritize and meet deadlines in a fast-paced office
  • Ability to maintain confidentiality when handling office or employee information
  • Ability to lift/carry packages weighing up to 40 pounds
  • Team player with a hunger to learn 
  • Proficient in Microsoft Office including Outlook 
  • Ability to remain composed and patient under pressure
  • Bachelor’s Degree or equivalent office management experience
